The secretary is responsible for the general administration of SoACT’s business and activities.

 

Position responsibilities

 

Process:

  • Incoming and outgoing mail and email
  • Play rights for SoACT productions
  • New memberships

 

Respond to:

  • Answering machine messages
  • General enquiries via email, phone, post and walk-in

 

Maintain:

  • A central diary and booking schedule for the use of the Basement by members involved in productions associated with SoACT
  • A diary for other SoACT and associated activities and Civic Theatre productions
  • Sponsorship, membership and supplier databases
  • Production files
  • Key log

 

Update:

  • Membership details, contacting members as subscriptions become due
  • Contact details with other organisations, e.g. security company, boards and networks
  • Organise regular updates of the SoACT website and Facebook page to include current productions and other activities

 

Record:

  • Meeting minutes
  • Incoming and outgoing correspondence

 

Distribute

  • Approved meeting minutes and action sheets
  • Documents on request e.g. privacy policy
  • Information of interest to committee and general members through monthly newsletter or as approved by the committee or president
