The secretary is responsible for the general administration of SoACT’s business and activities.
Position responsibilities
Process:
- Incoming and outgoing mail and email
- Play rights for SoACT productions
- New memberships
Respond to:
- Answering machine messages
- General enquiries via email, phone, post and walk-in
Maintain:
- A central diary and booking schedule for the use of the Basement by members involved in productions associated with SoACT
- A diary for other SoACT and associated activities and Civic Theatre productions
- Sponsorship, membership and supplier databases
- Production files
- Key log
Update:
- Membership details, contacting members as subscriptions become due
- Contact details with other organisations, e.g. security company, boards and networks
- Organise regular updates of the SoACT website and Facebook page to include current productions and other activities
Record:
- Meeting minutes
- Incoming and outgoing correspondence
Distribute
- Approved meeting minutes and action sheets
- Documents on request e.g. privacy policy
- Information of interest to committee and general members through monthly newsletter or as approved by the committee or president
